About Swan
Swan is an embedded banking platform that enables companies to launch banking features such as business accounts, cards, and payments directly inside their own products.
The company operates across Europe and serves clients who need to onboard businesses in multiple countries, so reliable company verification is essential to keeping onboarding and monitoring fast, compliant, and scalable.
Highlights
- Manual KYB analyst work reduced
- Company data and documents available through one provider
- Faster, smoother onboarding across countries
- More scalable register access across Europe
- Foundation for higher-volume KYB operations
KYB workflows were becoming too manual to scale
Swan’s KYB workflows depend on company information from registers. But across Europe, that information is fragmented. Each country has its own register logic, document types, access rules, pricing, latency, and data structure.
KYB analysts had to spend far too much time on each case, collecting and verifying data across countries. The team had to navigate multiple local register systems, manually purchase documents one by one, upload files, and check information against what users had provided.
It created bottlenecks in the onboarding flow. Because onboarding happens in real time, even small delays can frustrate Swan’s partners’ end-customers and make them more likely to drop off. As Swan expanded into new markets such as Spain, the Netherlands, Germany, Belgium, and Italy, the administrative work piled up. Volumes increased, and every new country meant a new set of local steps to follow.
“Onboarding is a live, customer-facing flow. If verification takes too long, you create friction at the exact moment someone is trying to complete the process.” — Maxime Sourdin, Onboarding PM at Swan
Consistency and scalability were also core issues. Some workflows required original register documents, while others could rely on structured company data if compliance approved the source and traceability. So Swan needed register-sourced data that compliance trusts and is easy to integrate into automated workflows. And all that without creating a different manual process for every country.
Why Topograph
Germany can be complex because shareholder information is often embedded in documents and register availability can be inconsistent. The Netherlands has paid-access register constraints and specific access rules. France has diffusion-partielle restrictions. Some countries require certified documents; others may allow data-only checks depending on compliance approval. Topograph’s country-by-country approach gives Swan a way to scale. Instead of treating every new jurisdiction as a separate operational project, they can build a repeatable model with the flexibility to handle local requirements.
For compliance, Swan needs clear evidence of the data source and freshness. Instead of relying on static third-party databases, Swan could retrieve company profiles, register extracts, ownership information, and documents directly from source systems when needed. And Topograph’s approach resonated because it combined official-source retrieval, structured outputs, document access, and monitoring.
“Topograph gave us a practical way to scale KYB operations across Europe, with official-source data and documents available through a single provider.” — Maxime Sourdin, Onboarding PM at Swan
✅ Register-sourced data
✅ Structured JSON outputs
✅ Document access
✅ Country-by-country flexibility
And the biggest advantage of all, analysts no longer have to manually compare register documents with applicant input, flag mismatches, and run repeated follow-ups. With structured data, product and operations teams can automate comparisons and move more cases toward one-touch approval.
Implementation
Now, for each onboarding case, the team can pull the relevant register data and documents through a single process, reducing the need to search local portals, purchase extracts individually, and upload files by hand.
After onboarding, Swan extended the same approach to ongoing verification. Topograph’s daily monitoring enables the team to track meaningful changes such as updates to ownership, registration details, or company status, so KYB doesn’t remain a one-time snapshot.
The result: a foundation for scalable KYB automation
Working with Topograph has made a difference for Swan’s KYB operations. The biggest impact has been cutting down the manual work for the analyst team, which helps Swan process more cases and deliver a smoother onboarding experience for clients.
Swan and Topograph are continuing to build a KYB workflow designed to be fast, reliable, and easy to scale across Europe. By moving away from manual document collection, Swan can rely on structured, register-sourced company data that supports more automated decision-making. This also gives compliance teams stronger, auditable proof of data freshness, source, and provenance.
The work is still being rolled out progressively, starting with concrete use cases and priority markets. But the direction is clear: Swan is building a KYB foundation that can support more countries, more partners, and higher volumes without adding proportional manual work.
