What is the Zaświadczenie z CEIDG?
The Zaświadczenie z CEIDG (certificate from the Central Register and Information on Economic Activity) is the official registration extract for sole traders (jednoosobowa działalność gospodarcza) operating in Poland. It is issued by the Centralna Ewidencja i Informacja o Działalności Gospodarczej (CEIDG), maintained under the authority of the Ministry of Economic Development and Technology (Ministerstwo Rozwoju i Technologii).
The document serves as proof of a natural person's registration as an entrepreneur and provides a snapshot of their business details as recorded in the register. It is the Polish equivalent of a company registry extract for sole proprietorships and is widely used in KYB (Know Your Business) and AML checks, supplier onboarding, and public procurement processes.
The extract is generated directly from the CEIDG online system and reflects the state of the register at a specific date and time. As noted on the document itself, a printout from the computer system does not require a signature and is considered an official record.
What does it contain?
1. Document header
The extract opens with the emblem of the Ministry of Economic Development and Technology and the full title "Centralna Ewidencja i Informacja o Działalności Gospodarczej Rzeczypospolitej Polskiej" (Central Register and Information on Economic Activity of the Republic of Poland). The footer indicates the date and time of generation and the register state date (e.g., "Generated from CEIDG state for 2025-11-07").
2. Entrepreneur identification
The "Basic information" section provides core identifiers for the entrepreneur:
- Entrepreneur's company name — the business trading name, which by law must include the entrepreneur's full name (e.g., "ELECTROBIT TOMASZ SZCZEPANIAK")
- First name and Given name (Last name) — the entrepreneur's personal name and surname
- NIP (Numer Identyfikacji Podatkowej) — the tax identification number, a 10-digit unique identifier used for all tax-related matters
- REGON (Rejestr Gospodarki Narodowej) — the national business registry number, a 9-digit statistical identifier assigned by the Central Statistical Office
- Citizenship/Nationality — the entrepreneur's nationality, with a note to indicate if more than one applies

- Additional permanent places of economic activity — any secondary business locations, if applicable
- Postal address — the correspondence address, which may differ from the establishment address

6. Economic activity codes (PKD)
The extract lists the business activities declared by the entrepreneur using PKD2007 codes (Polska Klasyfikacja Działalności — the Polish Classification of Economic Activities, based on the EU's NACE Rev. 2 standard):
- Predominant economic activity (PKD2007 code) — the primary activity of the business
- Economic activity performed (PKD2007 codes) — the full list of all registered activity codes
An entrepreneur may register a significant number of PKD codes. In the examples observed, listings range from a single code to over 40 entries covering wholesale, retail, and services.
7. Civil law partnerships
The section "Civil law partnerships in which the entrepreneur is a partner" (Spółki cywilne) discloses whether the entrepreneur participates in any civil law partnership (spółka cywilna). When applicable, the partnership's NIP, REGON, and the date of any suspension of economic activity within that partnership are shown.
8. Prohibitions, insolvency, and succession
The extract includes several sections that flag regulatory or legal events:
- Prohibitions — any court-imposed prohibitions on business activity
- Information on bankruptcy / reorganization / restructuring proceedings — records of insolvency-related proceedings
- Succession administrator/manager — details of any succession manager appointed after the death of the entrepreneur
- Professional qualifications — any registered professional qualifications or licences held
In a typical active entry, these sections display "no entries."
The document concludes with standard legal notices reminding the entrepreneur of their obligation to maintain a valid legal title to the registered address, update entries within statutory deadlines, and warning of liability for providing false data. A prominent notice confirms that registration in CEIDG and all related activities are free of charge.
What is not included?
The Zaświadczenie z CEIDG does not contain:
- Date of birth or personal identification number (PESEL) — the entrepreneur's date of birth and PESEL number are not disclosed in the public extract
- Financial data — no revenue, tax, or accounting information is included
- Beneficial ownership information — UBO data is not part of the CEIDG extract
- Share capital — not applicable to sole traders, who operate with unlimited personal liability
- Historical changes — the extract reflects only the current state of the register; amendment history must be consulted separately
